1. Who we are
GroomScan ("the App", "we") is provided by Juan Antonio Cachazo Prieto (NIF 04231555S), Cedillo del Condado (Toledo), España, contact: hola@groomscan.com. For the data described below we act as:
-
Controller of merchant account data (section 3.1).
-
Processor on behalf of the merchant for data from the merchant's store visitors (section 3.2). The merchant is the controller for its shoppers.
2. What GroomScan does
Merchants add a widget to their Shopify store. A shopper may upload a photo of a hairstyle. The App analyses the photo and recommends products from that merchant's catalogue.
3. Data we process
3.1 Merchants (installing the App)
-
Shop domain (
*.myshopify.com), shop name, primary domain and store currency. -
Whether the store is a development store, the selected plan and the Shopify subscription ID.
-
An app key that identifies the store in our service, and the onboarding steps the merchant ticked.
-
Shopify access tokens needed to run the App (stored encrypted at rest by our host and used only for the App).
-
Aggregate usage (number of scans per period). We do not access orders, customers or other Admin data: the App requests no Shopify Admin API access scopes.
3.2 Shoppers (store visitors using the widget)
-
Photo: sent only after the shopper ticks the consent box. It is processed in memory to estimate hairstyle parameters (style, texture, hold, finish, volume) and choose products, and then discarded. Photos are never stored by GroomScan or by the app.
-
Random device identifier: a random value created in the shopper's browser (
localStorage, keygs_device) to apply fair-use limits (scans per user). It does not contain names, emails or any information from the shopper's Shopify account. -
Scan log: date and time, store, the random device identifier, language, the estimated hairstyle parameters and the products recommended. Used for usage limits, billing per plan, service quality and aggregate reports to the merchant. It contains no photo, name, email, address or payment data.
-
The widget also uses
sessionStorageto remember that the automatic popup was already shown. We do not collect Shopify customer data (names, emails, addresses, orders) and do not use shopper data for advertising or to build profiles across stores.
4. Purposes and legal bases (GDPR)
| Purpose | Legal basis |
|---|---|
| Providing the App to merchants, billing through Shopify, support | Contract (Art. 6(1)(b)) |
| Analysing a shopper's photo to recommend products | Shopper's consent given in the widget (Art. 6(1)(a)), on behalf of the merchant |
| Fair-use limits, security and service quality (device identifier, scan log) | Legitimate interest (Art. 6(1)(f)) of providing a reliable service |
| Legal and tax obligations | Legal obligation (Art. 6(1)(c)) |
| The photo is not used to identify a person and no biometric identification or facial recognition is performed. |
5. Sub-processors

6. Retention
-
Photos: not retained (deleted right after analysis).
-
Scan logs: 12 months, then deleted or aggregated anonymously.
-
Merchant data: while the App is installed. When a merchant uninstalls, sessions are deleted immediately and all shop data is deleted when Shopify sends the
shop/redactrequest (48 hours after uninstall). -
Billing records: as required by tax law.
7. Shopify privacy requests
We implement Shopify's mandatory privacy webhooks: customers/data_request and customers/redact (we hold no Shopify customer data, so there is nothing to export or erase; requests are logged) and shop/redact (all shop data is deleted).
8. Your rights
You can request access, rectification, erasure, restriction, portability or object to processing by writing to hola@groomscan.com. Shoppers can also contact the merchant's store, which is the controller of its customers' data; we will assist the merchant. Shoppers can delete the device identifier at any time by clearing their browser's site data. You may complain to a supervisory authority (in Spain: Agencia Española de Protección de Datos, www.aepd.es).
9. Security
Encrypted connections (HTTPS), webhook signature (HMAC) verification, Shopify session tokens, minimal data collection and access restricted to the App.
10. Children
The widget is not directed at children under 14. Merchants should not target the widget at children.
11. Changes
We will publish changes on this page and update the date above. Material changes will be notified to merchants in the App.
